Account Services Coordinator

This position is a key member of the Exhibit Services team and provides support to the team as well as managing all the on-site service orders for the assigned tradeshows and events.

JOB ACCOUNTABILITIES

PROJECT EXECUTION EXCELLENCE:

Work as part of the Exhibit Services team to manage/execute the required services associated with your assigned trade shows and events, ensuring all elements are delivered on time, within budget, and meeting or exceeding client expectations.

TEAM SUPPORT, COLLABORATON, COMMUNICATION:

Support the Exhibit Services team in various ways on assigned projects.

Key Responsibilities:

Show Services Support:

  • Obtain and review exhibitor manuals to both guide and build out the project timeline for exhibitors needing onsite services
  • Main point of contact and liaison between show management associations, vendors, and labor partners and the client exhibiting
  • Work closely with Account Management, Detail Engineers, & Project Management teams to place vendor orders on behalf of our clients
  • Provide full project estimates for Account Management to align with budget prior to placing orders
  • Create purchase order requisitions for all vendor orders to build out costs on job
  • Reconcile credit card expense reports for owned projects
  • Prepare project closeout reports for the billing process to the client
  • Determine any invoicing discrepancies and make appropriate updates to purchase orders for invoicing matching
  • Prioritize assigned projects and ensure orders are placed timely and accurately to meet discount and delivery dates
  • Adapt to all changes both timely and last-minute
  • Assist with show run onsite needs as they occur
  • Manage & own service orders from creation to show close dates

Required Skills and Experience:

  • Bachelor’s Degree or equivalent experience required
  • A team player that collaborates well with others to achieve common objectives
  • Highly motivated and resourceful self-starter, and possess the capacity to solve problems and think proactively
  • High level of organizational, planning & problem-solving skills, with the ability to prioritize with minimal direction and manage multiple competing projects/tasks in a fast-paced environment
  • Strong attention to detail, with sense of urgency to obtain results, consistently meet deadlines and produce accurate work
  • Exceptional written and verbal communication skills (phone, remote, and in person)
  • Ability to accept constructive criticism
  • Multi-task
  • Proficiency with Microsoft Office applications, with capacity to learn and understand new systems and processes
  • Familiarity with trade shows or events is a plus

How To Measure Success:

  • By 30-60 days, employee should understand team dynamics and perform basic job functions independently. This includes the ability to create simple purchase orders, place simple/non labor orders, create and send out field kits
  • By 60-90 days, employee should be self-reliant on basic job functions and begin executing more complex tasks. This includes handling credit card vendors, reading labor call documentation and ordering labor accurately, understanding how to read engineer drawings. Overall, employee should be able to start owning small to medium sized projects and their relevant tasks.
  • By 90-120 days, employee should be able to own projects, tasks, and accounts independently while reaching out for questions and assistance as they continue to gain experience.
